The Brand New Booking Tool - The Artist’s Perspective
Musicians on HELLO STAGE with a Pro Membership can make use
of our latest addition - the booking tool!
You can decide if you would like it to show up on your
profile or not.*** On each profile page you have
(as you might have one as a soloist and one for your ensemble)
you will find a box giving you the link to
agreeing the terms and conditions of
the booking tool to activate it.
The booking tool enables promoters to not only get
in touch with you about a possible engagement
(they could do this via the contact button too, right?)
but it gives them and you a whole new way of keeping
all your discussions and information in one place.
But not only that - in case you are managing yourself
it too gives you a sort of guideline to all
topics to discuss when entering an engagement and
everything up leading to a concert.
You will have your schedule in one place and it will
extremely easy and comfortable for you
not miss out on any information the promoter
sent you which might otherwise have been overlooked in a
long email (it happened to the best of us!).
In case your management is handling your engagement
it is a wonderful tool for them to discuss
everything on your behalf and present
you with your itinerary at the end.
Once the promoter clicks on the button on your
profile a form opens in which he can transmit
all basic information about his query to you
- the date of the concert, or the period if
rehearsals are not on the same day,
the programme they would like you to perform or
alternatives they too can imagine,
but also giving you the orchestra
you should perform with or indicate if they are after a recital,
some chamber music or an opera performance.
They can inform you about their venue, its address and
let you know if it is an outdoor concert,
something you might like to learn at the start of a discussion.
One of the boxes is aimed for a fee suggestion -
this might still be blank when you get
the first inquiry about you possibly being free for a date.
That is quite customary and I think something positive -
it is much better to discuss the repertoire
and everything first, if this is settled one will always
make it work financially somehow!
However, we built it in right from the start as
there is also
a whole market for functions, receptions,
house concerts etc. out there which work by far
more on a 'take it or leave it' basis.
The money involved is a strong point also
for the one offering you the possibility to perform at their house.
They also might not be too sure what the going rate is and
being upfront about the money will help to get a quick response.
You will be able to make counter offers or agree
to the suggestions. Every time one of the parties
adds a new piece of information the other
is notified within the tool
and the news is highlighted for an easy find.
Apart from the initial date, you can be sent the whole
schedule for the engagement,
including any interview or reception you might
be asked to attend. Once settled on the programme
and the time of the concert, the promoter can add
this to the period section and tick that all is confirmed
- this will automatically be created into an event
on HELLO STAGE for your profile as well as on the promoter’s.
Of course a publishing date can be set as well,
so no premature publishing online will accidentally happen.
Files can be uploaded as well - there might
be a stage plan or the signed contract
you would like to file with the engagement.
One little piece of advice - I would recommend that you
make sure that your events are up to date and
not only give the venue but also the programme.
As you know promoters can search HELLO STAGE
for repertoire and will find your upcoming
(and past) performance of a certain work.
This will most probably not result in an immediate booking,
but you will certainly have raised their interest
and they will keep following you and/or maybe visit one
of your concerts.
Adding the about section is also important -
it is a short introduction about you and, if interest is raised,
more information will be found in your biography.
But also promoters who already know you will
most probably start using the tool as
it bears so many new great features to make organizing
everything around a concert is so much easier this way.
If you don’t start getting inquires via HELLO STAGE - don’t worry,
it will take a little time to spread the word that this
is making work processes so much easier!
We all need to work together to get the word out about it.
Please encourage promoters to use it,
you will not only have the benefit of being very
organized but also somebody
else will be recognized by your contact and vice versa
you will strongly benefit from other people’s network!
